Receiving Research Peptides: A Laboratory Checklist

A useful receiving record connects a research peptide shipment to its identity, documentation, storage location, and eventual experiment. Completing that record when the package arrives is easier than reconstructing it after several vials have entered use.

The workflow below is a suggested laboratory checklist. Adapt it to the material’s instructions and your institution’s procedures, including who can accept a shipment and who resolves discrepancies.

1. Prepare before delivery

Identify the expected product, quantity, and storage requirements from the order documentation. Make sure the receiving team has a suitable storage location and knows whom to contact if something is missing. Obtain the applicable safety data sheet and handling instructions before opening or processing the material.

2. Inspect the shipment

  • Record the arrival date, time, and receiver.
  • Compare the number of containers with the packing list.
  • Check for damaged packaging, leakage, broken containers, or unreadable labels.
  • Record any available shipping-temperature indicator or logger information.
  • Photograph a discrepancy before discarding packaging, following the laboratory’s records policy.

A package inspection is an observation, not an analytical release test. If a temperature excursion is suspected, document the evidence and seek material-specific guidance. A warm cold pack alone does not establish the shipment’s full temperature history or the peptide’s condition.

3. Match the vial to its paperwork

Compare the product name, identifier, chemical form, stated quantity, and lot number across the vial, order, and certificate of analysis. Retrieve available documents from the PuraSynth COA library, then save the exact certificate associated with the received lot.

4. Store according to the material’s instructions

Storage conditions should come from the applicable product documentation and laboratory procedure. General guidance is useful background, but it does not establish a universal shelf life for every peptide or blend.

Thermo Fisher’s standard-peptide instructions also highlight prompt storage, qualified handling, and peptide-specific solubility considerations. 5. Assign a location and review status

Give the material an internal identifier and record its exact storage position. A suggested status scheme is “pending review,” “accepted for the planned study,” or “held for clarification.” Define who can change that status in your laboratory.

If a container is damaged or documentation cannot be matched, keep it identified and separate from material ready for use under the appropriate storage conditions. Record the supplier’s response and the reviewer’s decision before closing the issue.

  • Shipment: order reference, arrival date/time, receiver, container count.
  • Material: product name, identifier, form, quantity basis, lot.
  • Condition: package and vial observations, available temperature evidence.
  • Documents: COA file, handling instructions, safety data sheet, supplier clarification.
  • Storage: required condition, actual location, date/time stored.
  • Disposition: review status, unresolved issue, reviewer, decision date.
  • Traceability: internal sample identifier and linked study record.
